Photo & Video Consent Policy

This Photo & Video Consent Policy applies to all Little Knights events, programs, activities, games, festivals, community gatherings, fundraisers, and related media.

Little Knights is owned and operated by Club Ninety Ltd. in collaboration with the Knights of Columbus, Council 13461. Club Ninety Ltd. is responsible for the operation, administration, branding, media, promotion, and intellectual property connected to Little Knights.

By registering a child for a Little Knights event, program, or activity, the parent or legal guardian agrees to the terms of this Photo & Video Consent Policy.

1. Purpose of This Policy

Little Knights uses photos and videos to document events, promote community involvement, celebrate participants, thank sponsors, support fundraising, and share the positive impact of our programs.

Because Little Knights involves children, we want parents and guardians to clearly understand how photos and videos may be captured, used, and shared.

This policy is intended to make media consent clear, visible, and separate from our general Terms & Conditions and Privacy Policy.

2. Consent by Parent or Legal Guardian

A parent or legal guardian must provide consent on behalf of any child participating in Little Knights events, programs, or activities.

By completing registration, attending an event, or allowing a child to participate, the parent or legal guardian confirms that they have the authority to provide photo and video consent for the child.

Children should not provide consent on their own.

3. Photos and Videos May Be Taken

During Little Knights events, photos, videos, audio recordings, and other media may be captured.

This may include, but is not limited to:

  • Soccer games

  • Warm-ups

  • Team activities

  • Group photos

  • Award moments

  • BBQs and community gatherings

  • Sponsor activations

  • Event recaps

  • Candid photos

  • Crowd shots

  • Family and spectator areas

  • Promotional footage

  • Behind-the-scenes content

Photos and videos may include child participants, parents, guardians, volunteers, coaches, spectators, sponsors, donors, staff, and community members.

4. How Photos and Videos May Be Used

The parent or legal guardian grants Club Ninety Ltd., Little Knights, and approved representatives permission to capture, use, edit, publish, reproduce, display, distribute, and share photos, videos, audio recordings, and other media from Little Knights events.

Photos and videos may be used for purposes including, but not limited to:

  • Little Knights website content

  • Social media posts

  • Event recap videos

  • Promotional videos

  • Printed or digital marketing materials

  • Advertising

  • Sponsorship materials

  • Fundraising campaigns

  • Community updates

  • Newsletters

  • Posters and flyers

  • Registration promotions

  • Future Little Knights event promotion

  • Club Ninety Ltd. promotional use connected to Little Knights

Photos and videos may be used for commercial, promotional, charitable, fundraising, sponsorship, marketing, and community-related purposes.

5. No Additional Approval or Compensation

By providing consent, the parent or legal guardian understands that photos and videos may be used without further notice, approval, review, payment, royalty, or compensation.

This means Club Ninety Ltd. and Little Knights do not need to request additional permission each time a photo, video, or piece of media is used in connection with Little Knights.

6. Where Photos and Videos May Appear

Photos and videos may appear on platforms and materials including, but not limited to:

  • Little Knights website

  • Club Ninety Ltd. websites or pages connected to Little Knights

  • Instagram

  • Facebook

  • TikTok

  • YouTube

  • Email newsletters

  • Digital advertisements

  • Printed flyers

  • Posters

  • Sponsorship decks

  • Community updates

  • Event recap pages

  • Registration pages

  • Fundraising materials

Once content is posted online or shared through third-party platforms, it may be viewed, saved, copied, shared, reposted, or distributed by others outside the control of Club Ninety Ltd. or Little Knights.

7. Commercial and Promotional Use

The parent or legal guardian understands that Little Knights media may be used to promote current and future Little Knights events, programs, registrations, sponsorships, fundraising efforts, and community initiatives.

Because Little Knights is owned and operated by Club Ninety Ltd., media may also be used by Club Ninety Ltd. for promotional purposes connected to Little Knights.

This does not mean that a child’s name, image, or likeness will be sold individually. It means that photos and videos from Little Knights events may be used in promotional and commercial materials related to Little Knights and Club Ninety Ltd.’s operation of the Little Knights initiative.

8. Use of Child Names

Little Knights may use a child’s first name, team name, age group, or general event participation where appropriate.

Little Knights will make reasonable efforts not to publish a child’s full name together with personal contact information, address, school, medical details, or other sensitive personal information.

9. Sensitive Information

Little Knights will not intentionally publish private medical details, allergy information, emergency contact information, home addresses, payment information, or other sensitive registration information in public media.

Photos and videos are intended to show participation, community, sport, fundraising, and event atmosphere.

10. Opt-Out Requests

If a parent or legal guardian does not want their child to be photographed or filmed, they must notify Little Knights in writing before the event.

Little Knights and Club Ninety Ltd. will make reasonable efforts to accommodate written opt-out requests.

However, because Little Knights events may include public spaces, group sports activities, crowds, team photos, game footage, background shots, and event recap content, complete exclusion from all photos, videos, background images, group media, or crowd footage cannot be guaranteed.

11. Previously Published Media

If a parent or legal guardian later requests removal of a photo or video, Club Ninety Ltd. and Little Knights will review the request and make reasonable efforts to remove the content from platforms or materials under their direct control.

However, removal may not always be possible where media has already been:

  • Printed

  • Published

  • Shared by others

  • Reposted by third parties

  • Included in completed promotional materials

  • Distributed through sponsor or community materials

  • Stored or indexed by third-party platforms

  • Used in archived event recaps

Club Ninety Ltd. and Little Knights cannot guarantee removal of content from third-party websites, social media accounts, screenshots, reposts, shares, downloads, or platforms outside their control.

12. Third-Party Photographers, Videographers, and Media Teams

Club Ninety Ltd. and Little Knights may use approved photographers, videographers, content creators, volunteers, media teams, or service providers to capture and produce event media.

These individuals or service providers may have access to photos, videos, and media files for the purpose of editing, storing, producing, publishing, or delivering Little Knights content.

Approved representatives are expected to use media only for authorized Little Knights purposes.

13. Spectator and Parent Photography

Parents, guardians, spectators, and community members may take personal photos or videos during Little Knights events.

Club Ninety Ltd. and Little Knights are not responsible for personal photos or videos taken, posted, shared, or distributed by other attendees.

All attendees are expected to act respectfully and avoid using photos or videos in a way that is inappropriate, harmful, misleading, or inconsistent with the values of Little Knights.

14. Safety and Respect

Little Knights aims to use media in a respectful, positive, and community-centered way.

Media should reflect the spirit of the event, the joy of sport, and the mission of bringing families together for a good cause.

Club Ninety Ltd. and Little Knights reserve the right to remove, decline, or avoid using media that is inappropriate, unsafe, misleading, disrespectful, or inconsistent with the values of the initiative.

15. Relationship to Privacy Policy and Terms & Conditions

This Photo & Video Consent Policy should be read together with the Little Knights Privacy Policy and Terms & Conditions.

The Privacy Policy explains how personal information is collected, used, stored, and shared.

The Terms & Conditions explain the rules and conditions for registration, participation, refunds, event conduct, liability, and website use.

This Photo & Video Consent Policy specifically addresses the capture and use of photos, videos, audio recordings, and event media.

16. Changes to This Policy

Club Ninety Ltd. may update this Photo & Video Consent Policy from time to time.

The updated version will be posted on the Little Knights website with a revised “Last Updated” date.

Continued registration, participation, attendance, or interaction with Little Knights after changes are posted means you accept the updated policy.

By registering for a Little Knights event, program, or activity, the parent or legal guardian confirms that they have read, understood, and agreed to this Photo & Video Consent Policy.
